D. Payroll
In the Payroll area of ESS you will be able to display and print your Online Pay Statement, which provides more information to you than is provided on your paper pay statement (or pay check). You also can view details regarding your Savings Bonds purchased through payroll.
- To view the Online Pay Statement, click
- Select your criteria for searching by clicking on one of the three radio buttons.
- To select by Current Pay Statement, click the
radio button.
- To Select by Pay Date, click the
radio button to view current and prior year pay dates.
a. Use the drop-down arrowin the field to select the desired pay date. (To view the PASSHE pay date schedule, click on Paydate Schedule).
b. To view the results, click thebutton.
- To Search by Pay Period, click the
radio button to search all pay dates since January 2004.
a. Then either type the desired date in the Start and End date fields or select the dates from a calendar by clicking on theselection button.
b. To view the results, click thebutton.
c. Select a row in the Search Results table by clicking the.
d. Click thebutton and your pay statement will display in a new window (example below).
Section 1 This section provides information such as the employee name, personnel number, pay period and check date, and employee group. Section 2 Reading from left to right, this section calculates the net pay as gross earnings minus all pre-tax and post-tax deductions and taxes. The first line represents the current pay period while the second line represents year-to-date totals. The net pay includes all direct deposits. Section 3 This information provides current and year-to-date earnings including regular salary, additional payments, overtime, and leave. The total earnings appear on the bottom line. Section 4 This section provides the pre-tax deductions including contributions for health and retirement plans, Flexible Spending Accounts, and other tax-deferred savings plans. The total pre-tax deductions appear on the bottom line. Section 5 This section breaks down all of the taxes including current and year-to-date federal, state and local taxes, unemployment taxes, occupation taxes, etc. Total taxes appear on the bottom line. Section 6 This section provides the post-tax deductions including voluntary life and long-term disability insurance premiums, charitable contributions and bond purchases. Total post-tax deductions appear on the bottom line. Section 7 This section provides the taxable gross earnings for each tax category including current and year-to-date earnings. Section 8 This section provides the net pay distribution. It identifies the direct deposit dollar amount (or amounts) and also the total current net pay. Section 9 This section provides the current and year-to-date amounts for any taxable benefits. - To view the Savings Bonds, click

This screen will display:a. Bond Purchases -- Click on a Bond Series type to display the bond series, denomination, cost, and deductions of the bond(s) purchased.
b. Bond Ownership -- Click on an Owner Name to display the names and information of the owner and the beneficiaries/co-owners.
- ESS now allows updating capability for W4 (federal withholding) for Tax Exempt Status "Not Exempt". If you currently have or need to switch to "Exempt" status then the employee must contact their payroll office to make a change to their W4. Changes to W-4 are made by selecting "W-4 Withholding Information" then selecting the "Update W-4 Information" button.
- Once "Update W-4 Information" has been clicked, the employee can select the following:
Filing Status: Single, Married, Head of Household, or Married Single Tax Rate.
Allowances: Any value between zero (0) and ninety-nine (99) can be entered.
Additional Withholdings: Enter dollar amount here (99.99).
Tax Exempt Status: Only "Not Exempt" is allowed. If an employee is currently "exempt" or wishes to switch to "Exempt" then the employee must contact their payroll office.
Note: Changes made are effective the first day of the next pay period and the date is shown on the ESS screen. Old data is saved; not deleted.
